Job Description
We are seeking an Events Planning PM to support a key initiative focused on large scale, nation-wide advertising events supporting the Marine Corps. The ideal candidate will have experience planning large scale events, networking with key location stakeholders, vendors, and other personnel as a primary point of contact, and who has experience supporting the Marine Corps or other DOD agencies, along with familiarity and/or a deep understanding of events and marketing.
Key Responsibilities:
Primary Event Liaison & POC: Act as the main point of contact between event venues, vendors, and client stakeholders. Coordinate with Marine Corps recruiting offices, sports organizations, and entertainment venues to ensure seamless event execution, including all logistical and administrative needs.
Event Strategy and Execution: Oversee the full lifecycle of event planning from initial concept to post-event evaluation, ensuring that events align with the Marine Corps recruiting objectives. Collaborate with internal marketing teams and external agencies to develop event strategies that increase visibility and engagement with key target audiences.
Vendor Management & Negotiations: Establish and maintain relationships with vendors, securing the best terms and agreements for services like venue rentals, AV support, event staffing, and promotional materials. Negotiate and manage contracts to ensure compliance with budget and project goals.
Logistics Coordination: Lead the planning and execution of logistics for events, including setup, materials management, transportation, and post-event breakdown. Ensure that all event assets, including promotional displays, marketing materials, and event technologies (such as digital kiosks), are deployed effectively at each venue.
Cross-Departmental Collaboration: Work closely with marketing, communications, and client-facing teams to ensure event messaging, branding, and promotional activities align with the overall strategic goals. This includes ensuring that Marine Corps recruiting efforts and community engagement are effectively highlighted.
Event Compliance and Safety Management: Ensure that all events comply with government regulations and venue-specific safety standards, especially for high-profile events attended by military personnel and government stakeholders. Coordinate security and risk assessments for each event.
High-Profile Event Oversight: Travel (up to 50%) to oversee large-scale, high-visibility events such as the Super Bowl, Coca-Cola 500, NASCAR races, and Marine Corps fleet weeks across the country. On-site, manage event execution, working with stakeholders to ensure everything runs smoothly, troubleshoot challenges, and ensure the success of recruiting and branding efforts.
Budget and Resource Management: Develop and manage event budgets, ensuring that all resources are used efficiently. Track expenses for each event and provide post-event financial reports, ensuring alignment with the overall marketing campaign's budget.
Event Feedback & Post-Event Reporting: Lead post-event analysis, collecting feedback from attendees, vendors, and Marine Corps recruiters. Compile reports on event effectiveness, participant engagement, and areas for improvement. This data will inform future event planning and adjustments to marketing strategies.
Technology and Event Innovation: Integrate modern event technologies such as augmented reality (AR), virtual reality (VR), digital engagement tools, and social media live streaming into event strategies to boost audience engagement and provide interactive experiences for attendees.
Requirements:
i. Bachelor's Degree or Master's Degree in relative field to include business, marketing, or analytics
ii. 5-7 years of experience large scale event planning, or an additional 5-10 years, in lieu of degree
iii. Exposure to Marine Corps or other DOD agencies strongly preferred
iv. Experience with Microsoft tools
v. Active Secret Clearance, or ability to obtain secret clearance
