Job Description


We are seeking a Special Events Manager to support a key initiative focused on large scale, nation-wide advertising events supporting the Marine Corps.  The ideal candidate will have experience planning large scale events, networking with key location stakeholders, vendors, and other personnel as a primary point of contact, and who has experience supporting the Marine Corps or other DOD agencies, along with familiarity and/or a deep understanding of events and marketing.


Note: This role is expected to last 6-8 months


Key Responsibilities:

  • Primary Event Liaison: Serve as the primary point of contact between event locations, vendors, and Marine Corps recruiting stakeholders. Act as the conduit between various stakeholders, ensuring seamless communication and event coordination across different regions and venues.


  • Comprehensive Event Planning & Execution: Oversee the complete lifecycle of event planning, including pre-event coordination, on-site event management, and post-event analysis. Design, plan, and execute large-scale events supporting Marine Corps recruiting initiatives, ensuring each event meets both the logistical and promotional goals of the marketing campaign.


  • Vendor & Stakeholder Management: Build, maintain, and negotiate relationships with vendors, local stakeholders, and venue managers to ensure successful event setups, staffing, and services. Develop strategic partnerships to optimize event delivery and marketing goals.


  • High-Profile Event Oversight: Take a leadership role in organizing and managing large-scale, high-visibility events such as the Super Bowl, Coca-Cola 500, NASCAR races, and Marine Corps Fleet Weeks. Ensure events are aligned with the Marine Corps' recruitment and branding goals, providing on-site management and troubleshooting during execution.


  • Budgeting & Resource Allocation: Manage event budgets, ensuring resources are allocated efficiently and in line with the marketing plan. Negotiate contracts with vendors and service providers to deliver events within budget while meeting high standards of quality and execution.


  • Logistics Management: Coordinate all logistical elements of event planning, including vendor deliveries, event materials, signage, and transportation. Ensure all Marine Corps-related materials, promotional booths, and equipment are properly staged and operational during events.


  • Cross-Functional Collaboration: Collaborate with internal marketing and communications teams to align event planning with broader marketing initiatives. Develop integrated marketing strategies that combine on-site promotions, social media engagement, and digital content creation to maximize event impact.


  • Compliance & Risk Management: Ensure all events comply with government regulations, Marine Corps standards, and venue-specific guidelines. Conduct risk assessments and implement appropriate safety measures to protect participants, attendees, and assets during high-profile events.


  • Data Collection & Event Reporting: Lead efforts to gather data and feedback from event participants, vendors, and stakeholders. Provide detailed post-event reports to assess success metrics, analyze event outcomes, and make recommendations for future improvements.


  • Event Marketing & Promotions: Work closely with marketing teams to promote events, using traditional and digital advertising channels, including social media, print, and on-site promotions. Ensure that the Marine Corps' recruiting efforts and messaging are effectively communicated at each event.


  • Travel & On-Site Management: Travel (up to 50%) to high-profile events nationwide to oversee event execution and provide hands-on management. Meet with key stakeholders, Marine Corps officials, and event partners to ensure that objectives are met, and events run smoothly.


Requirements:

i. Bachelor's Degree or Master's Degree in relative field to include business, marketing, or analytics

ii. 5-7 years of experience large scale event planning, or an additional 5-10 years, in lieu of degree

iii. Exposure to Marine Corps or other DOD agencies strongly preferred

iv. Experience with Microsoft tools

v. Active Secret Clearance, or ability to obtain secret clearance
